To View Address Books

  1. Select the Address Book you want to view by selecting the radio button to the left of the address book.
  2. Click View Address book button. The address book is displayed. This page contains a list of all addresses in this address book.
    • To search for a contact, enter the name of the contact in the Search field and click the Search button.

    • To view all contacts in the address book, click the All link.


      Note - By default, all contacts are listed when you view the address book.


    • You can list all the contacts whose name starts with a particular alphabet by clicking on the linked alphabets.

    • You can delete contacts from the address book by selecting the contacts, and clicking the Delete button.

    • You can perform the following actions from the address book page by selecting the required action from the Select Action drop-down list. The following actions can be performed.

    • Send Email:Select the contacts you would like to send a mail to and select Send Email from the Select Action drop-down list.

    • View Calendar: Select the contacts for which you would like to view the calendars. On selecting the View Calendar option from the drop-down list, the calendars of the contacts selected are displayed on a single page.

To View Address Book Properties

When users subscribe to your address book, depending on the permissions assigned to the users, the subscribed user can either read, write, delete, or create entries in the shared address book. Users who have subscribed to a shared address book can view the properties of the address book and learn about the owner, name, description, and permissions assigned to the shared address book.

  1. Select the View link in the Properties column of the address book for which you want to view the properties.
  2. This window contains the following information related to the address book
    • Name of the Addressbook: The name by which this address book is shared.

    • Owner of the Addressbook:The owner of the address book.

    • Description of the Addressbook:A short description of the address book.

    • Permissions: The permissions that the user has for this address book.

Subscribing and Unsubscribing To Address Books

The address book page allows you to subscribe to address books that have been shared by other users. You can perform actions depending on the type of permissions that have been assigned to you. Click Subscribe Addressbooks button on the Manage Addressbooks page. The Search Addressbook window appears.

To Subscribe to an Address Book

  1. Choose the required option from the first drop down menu. The option, Display Name, is selected by default. There are five options to be selected from the drop down menu as follows:
    • Display Name

    • First Name

    • Last Name

    • Email

    • Phone

  2. Choose the required option from the second drop down menu. The option, contains, is selected by default. There are four options to be selected from the drop down menu as follows:
    • contains

    • is

    • begins with

    • ends with

  3. Enter the search string for the contact in the adjacent text box.
  4. Click Search. All contacts in the address book satisfying the search criteria are displayed in the Search Results page.
  5. Select address books from the list displayed.

    If there are more entries, click Next or Previous to look at another set of contacts.

  6. Click Subscribe.

To Unsubscribe From an Address Book

  1. Select Manage Addressbooks from the Current Address Book drop-down list in the main address book page. The Manage Addressbook page appears with a list of your personal address book, corporate address book, and subscribed address books.
  2. Clicking the Unsubscribe link from the Action column for the address book you want to unsubscribe from.

Import and Export Address Book

Using the Import/Export feature you can transfer your entire address book to or from Microsoft Outlook’s or Netscape’s address book.

From the main page, select Import/Export. The Import/Export page appears.

To Import Contacts into Personal Address Book

  1. Export the Address Book file from your email client.
  2. Click the Import/Export option from the Address Book page. The Import/Export page is displayed.
  3. Import From File. (Required) Click Browse to select the file created while exporting the address book from Netscape, Microsoft Outlook, or vCard.
  4. Choose the Import Format from the drop-down menu. Available import formats are Netscape CommunicationAddress Book (LDIF), Microsoft Outlook CSV, Sun ONE Address Book CSV, Mozilla Thunderbird CSV, and vCard.
  5. Click Done.

    Note - The number of contacts in the imported file affects the time this activity requires.


To Export Contacts from Personal Address Book

  1. Choose the Export Format from the drop-down menu. Available export formats are Netscape Communication Address Book (LDIF), Outlook CSV, Sun ONE Address Book CSV, Mozilla Thunderbird CSV, and vCard.
  2. Click Done.
  3. In the Save As dialog box, select the location for the address book.
  4. Click OK to save the address book.
