Look up Mail Recipients from an Address Book

You can look up email addresses using the Add from Address Book page.

To Search for Addresses

  1. Choose the required option from the first drop down menu. The option, Display Name, is selected by default. There are five options to be selected from the drop down menu as follows:
    • Display Name

    • First Name

    • Last Name

    • Email

    • Phone

  2. Choose the required option from the second drop down menu. The option, contains, is selected by default. There are four options to be selected from the drop down menu as follows:
    • contains

    • is

    • begins with

    • ends with

  3. Enter the search string for the contact in the adjacent text box.
  4. Select the required address book to search from the drop-down menu.

    The options available are:

    • Personal Address Book

    • Corporate Address Book

    • Subscribed Address Book, if any

  5. Click Search. All contacts in the address book satisfying the search criteria are displayed in the Search Results page.
  6. When entries that match the search criteria are listed, select one of the three addressing options for the address. You can do this by clicking on the check box corresponding to the addressing option.

    To:

    Click this checkbox to send the message to this recipient.

    Cc:

    Click this checkbox to send a copy of the message to this recipient.

    Bcc:

    Click this checkbox to send a blind copy of the message to this recipient.

    If there are more entries, click Next or Previous to look at another set of contacts. The recipients that you have already selected are automatically added as per the addressing options.

  7. Click Add Recipients.

Add Addresses from Personal Address Book

You can add addresses from personal address book, in the Search Address Book page.

To Add Addresses

  1. Click on the Address Book tab. The Address Book page is displayed.
  2. Choose the required option from the first drop down menu. The option, Display Name, is selected by default. There are five options to be selected from the drop down menu as follows:
    • Display Name

    • First Name

    • Last Name

    • Email

    • Phone

  3. Choose the required option from the second drop down menu. The option, contains, is selected by default. There are four options to be selected from the drop down menu as follows:
    • contains

    • is

    • begins with

    • ends with

  4. Enter the search string for the contact in the adjacent text box.
  5. Click Search. All contacts in the address book satisfying the search criteria are displayed in the Search Results page.
  6. Select contacts from the list displayed.

    If there are more entries, click Next or Previous to look at another set of contacts. The contacts you previously selected are added to the Selected Cards list.

Managing Groups

A group is a list of contacts sharing the same profile, activity, department or organization. Use groups of contacts to send emails and view the calendars of group members.

From the Address Book page you can:


Note - Users cannot create groups within groups.


Search for Existing Groups

You can search for groups and view the group information in an address book by group name or by letters of the alphabet.

From the Search Results page you can:

To Search by Names within an Address Book

  1. Choose the address book from the Search panel drop-down menu.
  2. Enter the name of the group to search.
  3. Click Search. All contacts and groups in the address book satisfying the search criteria are displayed in the Search Results page. In the list, the presence of the icon distinguishes group names from contact names.

To Search for Groups

  1. Click the Groups link.
  2. All groups in the address book are displayed.
  3. Click Next or Previous to view the next or previous set of groups in the address book.

View Group Details

From the Address Book page or Search Results page, click the group name to display the View Group page.


Note - You cannot edit information displayed in the View Group page.
