To Search for Contacts by a Letter of the Alphabet

  1. Choose the address book from the Current Address Book drop-down menu.
  2. Click the linked character that represents the first letter of the contact’s display name, or click All to view all contacts in the address book.

    Contacts satisfying the query are displayed.

  3. Click Next or Previous to look at another set of contacts.

    Note - To sort contacts by a specific field, click the column title for the field. For example, to display primary email addresses in alphabetical order, click the triangular icon in that column’s heading.


Add Contacts to Personal Address Book

You can add contacts from the list of contacts that appear in the corporate directory to your personal address book.


Note - The Add Contacts to Personal Address Book button is not displayed when you view the Personal Address Book.


To Add Contacts to Personal Address Book
  1. Select the contacts from the Address Book page.
  2. Click Add To Personal Address Book.
  3. When a message confirming the addition is displayed, click OK to add the contacts to your Personal Address Book.
Send Email

You can send email messages to contacts or groups from the Search Results page.

To Send Email to Contacts or Groups from Address Book Search Page
  1. Select the contacts and groups from the list displayed.
  2. Select Send Email from the Select action drop-down menu.

    Note - If the Mail application is not deployed, the Send Email option displays the default mail application in the action drop-down menu.


  3. Compose the message in the New Message page and click Send.
View the Contact’s or Group’s Calendar

From the Search Results page you can view the calendar of a contact or group.

To View a Contact’s or Group’s Calendar
  1. Select a contact or group from the list displayed.
  2. Select View Calendar from the Select action drop-down menu or click the Calendar Icon icon.

    Note - If the Calendar application is not deployed, “View Calendar” option is not available in the action drop-down menu.


  3. Depending on the selection, the contact’s default calendar or a comparative view of the group’s calendar is displayed.
Add Contacts to Personal Address Book

You can add contacts to the address book by:

Add Contacts to Personal Address Book

You can add a contact to your personal address book in two ways.

They are:

  • By using the Add Contact feature on the Address Book page. This feature allows you to add basic information about the new contact such as First Name, Last Name, Primary Email address, and Phone number.

  • By clicking on the New Contact link on the Address book page. This feature allows you to add more elaborate information of the new contact.

To Add a Contact Using the Add Contact Button

  1. Enter the following contact information in the fields provided:

    First. Enter the contact’s first name.

    Last. Enter the contact’s last name.

    Primary Email. Enter the contact’s primary email address.

    Phone (primary). Enter the contact’s primary phone number.

  2. Click Add Contact to add the contact.

To Add a Contact by Clicking on the New Contact Link

  1. From the Address Book page, click the New Contact icon to display the New Contact page. The New Contact window pops up.
  2. Enter the new contact details

    Note - All mandatory fields are marked by a *.


    • Name and Company

      First Name. Enter the contact’s first name.

      Middle Name. Enter the contact’s middle name.

      Last Name. Enter the contact’s last name.

      Display Name. (Required) Enter how to display the contact’s name in the address book.


      Note - The First Name and Last Name fields or the Company name field are used to generate the Display Name. You can change the display name.


    • Company. Enter the name of the company where the contact is employed.

      Job Title. Enter the contact’s job title.

    • Phone: Enter the contact's phone numbers here. You can provide up to five phone numbers for each contact.

      Primary Phone: Choose the type of primary phone number from the drop-down menu and enter the primary phone number. This number is displayed when the user clicks on the Address Book tab from the launching page for quick reference. The available options are Work, Home, Mobile, Pager, Fax, and Other.

      Phone (2) — Phone(5):Choose the type of phone number from the drop-down menu and enter the alternative phone number. The available options are Work, Home, Mobile, Pager, Fax, and Other.

    • Email

      Primary email. Choose the type of email from the drop-down menu and enter the primary email address. The options available in the drop-down menu are Work, Home, Other, Pager, SMS.

      Email(2) - Email(3). Choose the type of email from the drop-down menu and enter an alternative email address. The options available in the drop-down menu are Work, Home, Other, Pager, SMS.

    • Addresses

      Work StreetEnter the street name and number of the contact’s work place.

      Work City. Enter the city of the contact’s work place.

      Work State. Enter the state of the contact’s work place.

      Work Postal/Zip Code. Enter the postal or zip code of the contact’s work place.

      Work Country. Enter the country of the contact’s work place.

      Enter the contact’s home address in the following fields:

      Home Street. Enter the street name and number of the contact’s home.

      Home City. Enter the city of the contact’s home.

      Home State. Enter the state of the contact’s home.

      Home Zip/Postal Code. Enter the ZIP or postal code of the contact’s home.

      Home Country. Enter the country of the contact’s home.


      Note - Only contacts with unique display names and email addresses are saved.


    • Online

      Web Address (1). Enter the contact’s web address.

      Web Address (2). Enter an alternate web address.

      Calendar Address. Enter the contact’s calendar address, such as http://siroe.com?calid=john.

      Availability Address. Enter the contact’s availability address. The availability address is used to check whether the contact is available for an event, such as john.siroe.com.

      Instant Messaging (IM) Nickname and Service.

      Nickname (1) and (2). Select the primary instant messaging service, and enter the contact’s nickname on it. In the subsequent field, enter the contact’s nickname on another instant messenger service.

    • Dates

      Birthday. Choose a day and month from the drop-down menu, and enter the year.

      Anniversary. Choose a day and month from the drop-down menu, and enter the year.

    • Notes. Enter a note about the contact’s qualifications or area of speciality.

  3. Click Save to add the contact.
