Recurrence

Click Recurrence link to set the task recurrence pattern.

To Create Recurrence Events
  1. Choose the Frequency of recurrence of a task from the drop-down list.

    The available options are: Does not recur, Daily, Monthly, Weekly, and Yearly.

  2. Choose the Pattern from the drop-down list. The pattern options displayed in the drop-down list depends on the Frequency of recurrence selected.
  3. Choose the End date from the Options displayed. The End options displayed depends on the Frequency of recurrence selected.

    Recurrence lists the task recurrence pattern. This table consists of three columns; the first column lists the frequency of recurrence of a task, the second column lists the pattern options available for the frequency selected, and the third column lists the End options for the frequency selected.

Attachments

You can include attachments for the tasks you create. For more information on how to add an attachment, see Attachments

Reminder

Use this option to send reminders before the due date.

Click the Reminder link, to go to the Reminders section.


Note - By default, the reminder settings defined in Options - Calendar window will be displayed. You can change these settings.

By default “Send an Email Reminder” check box is selected in the New Task window if it is selected in the Options tab.


To Set a Reminder
  1. Select Send an Email Reminder checkbox.
  2. Specify the Email Addresses to which reminders should be sent to.

    You can enter multiple email addresses, each separated by commas.

  3. Specify when the reminder should be sent.

    You can specify that the reminder be sent minutes, hours, or days relative to the scheduled day of the task or specify an absolute date and time when the reminder should be sent.

  4. Enter a brief Reminder Message.

Tasks Pane

In the Day, Week, and Month View, you can view tasks that are overdue, due for the day, completed tasks, and tasks without due dates. Tasks with due dates are tracked by the system and all overdue tasks are listed in the calendar.

A task is considered overdue when it has not been marked “complete” by the current date. The overdue tasks are displayed at the top of the list. In the Week and Month view, and the Due task appear daily until it is completed.

The completed tasks are displayed only when “Always show completed tasks wherever tasks are shown” is enabled in the Options-Calendar window.

The owner’s name and the calendar name are appended to the task if it is from a calendar you do not own.

Click a task’s Title to view the task details. The recurrence pattern and the reminder details are displayed in the task view mode. From the task pane, you can change the status of the task to “Completed,” edit, and delete the task displayed in the Tasks list.

To Edit Task Details

  • Click the Task title. The View Task window displays the Task Details, Recurrence pattern and the Reminder details.

  • Click Edit. The Edit Task window appears. Edit the task details. For more information on editing tasks, see Edit Tasks.

To Delete Tasks

  • Select tasks from the list displayed and click Delete.

  • The task is removed from the list displayed.

To Change the Status of Tasks you Have Completed

  • Select the task and click Complete.

  • The task is removed from the list displayed but not from the Tasks list maintained in the Tasks page.

  • Click the “more” link to view all the tasks for the day in the Tasks page.


Note - You can delete or change the status of a task, displayed in the Tasks list of a subscribed calendar, only if you have Modify and Delete permissions or if you are a co-owner of the calendar.


Invitations

Click the Invitation tab to view all upcoming events in the Invitations page.


Note - In the Invitations page you can view all invitations in the calendars you own. Otherwise, the message, “you do not have the required permissions to view invitations” is displayed.


When someone invites you to an event, the event is placed on your calendar and an invitation is placed on your invitations list. You can respond to an invitation directly from the calendar grid through the View Events window or from the invitations list. The number of invitations awaiting your reply are indicated in parentheses on the Invitations page.

You can filter the invitations displayed in the Invitations page by selecting the month, day, and year from the View drop-down list, and then the group of the invitation from the Show drop-down list. The options available are Invitations for the Day, Invitations for the Week, Invitations for the Month, and All Invitations.

The Invitation page displays the following information:

  • The Date of the event.

  • The Event Title and the event details, such as the time of the event, type of the event (whether recurring at regular intervals), and public or private event. The external owner and calendar name are displayed if the event originates from a calendar you do not own. Click the Event Title to view the event details in the View Event window.

  • The Organizer of the event. The organizer of an event owns the calendar. Click the event organizer’s name to compose a mail to the organizer with the event title as the subject of the mail.

  • You can accept or decline an invitation by selecting a radio button option. The options available are: Accept, Decline, tentative.

Click Save to save the Invitation status. The following actions are performed depending on the radio button selected:

Accept. Accepting an event changes the participation status to “Accepted.”

Decline. Declining an event changes the participation status to “Decline.”

Tentative. The event will not appear in the invitations list when you select this option.

You can delete Invitations from the invitations list. To delete invitations, select them from the list and click Delete.

View Event

The Event and the Attendees status details are displayed in the View Event window.

Event Details

The event details lists the Date, Time, Location, Organizer, Notes, Type, Privacy, Recurrence, Reminder details of the selected event. The list of attachments (if any) associated with this event are also available.


Note - You cannot edit the information.


Attendees

The total number of people and the names of contacts who have accepted, declined, no response, tentative and the attendee comments to the RSVP is displayed.


Note - You cannot edit this information.


Click Close to exit the window.

Search for Calendars

Click Search for Calendar from the Day, Week, Month, Year, Events, Invitations, or Tasks page to search for calendars.
