Quick Add Tasks

You can use the quick Add Tasks option to create a task on a particular date and time of the year.

To Add a Task Using the Quick Add Option
  1. Enter the Task Title.
  2. Select the Due Date, from the drop-down list or select No Due Date, if the task does not have to be completed within a specified date.
  3. Select the Due Time, in hours and minutes from the drop-down list or select No Time, if the task does not have to be completed within a time frame.
  4. Click Add Tasks.

    The task is added to your default calendar if you are adding a task from a concatenated calendar or group calendar.

    Otherwise, the task is added to the selected calendar.


    Note - You can add tasks to the selected calendar or to the subscribed calendar only if you have been granted modify permission.

    The default priority assigned to a quick add task is “Normal” and the default category is set to the Default Type selected in the Options tab.


Edit Tasks

Tasks can be edited directly from the Tasks page or from the View Task window.

From the Tasks page you can:

  • Edit the tasks from the tasks table.

    To Edit

    • Click the Edit link for the task you want you edit.

    • The Edit Tasks window is displayed. You can edit the Task Details, Recurrence pattern, and Reminder messages in the Edit Tasks window.

    Click on the Title to view the task details and then Click Edit to edit the Task Details, Recurrence pattern, and Reminder Messages in the Edit Tasks window.


Note -

When a recurring task is edited or deleted, a pop-up window with the following options is displayed:

  • This Task Only - Select this option to modify or delete the selected instance of the recurring task.

  • This and All Tasks - Select this option to modify or delete all instances of the recurring task.

  • Cancel - Select this option to abort the edit or delete process.


Delete Tasks

Deleting a task removes it from your tasks list and tasks pane.

Tasks can be deleted from:

  • The Tasks page

  • Edit Tasks window

  • Tasks Pane

  • The calendar view (day, week, month page).

  • View Task window

To delete tasks, select the tasks to be deleted and click Delete.

Change the Task Status

You can change the status of the task to “Completed” from the Task page, Task pane in Day, Week, and Month view page or from the View Task details window. Marking a task complete does not remove it from the task list until you delete it.

To Change Tasks Status

  • In the Tasks page, you can change the tasks in progress status to 100% (completed),75%,50%,25% from 0% (not yet started) and click Save.

  • In the Day, Week, or Month view, select the task from the task pane and click Complete.

  • In View Task window that appears when you click on the task title, click Complete Task. The status of the task is changed to completed.

Create New Tasks

In the Day, Week, Month, Year, Events, Invitations, and Tasks tab use the New Task link or icon to create a Task.

To Create New Tasks

  1. From the Day, Week, Month, Year, Events, Invitations, and Tasks page, click the New Task link or icon.

    The New Task window is displayed.

  2. In the New Task window:
  3. Click Save to save the new task details and exit the New Task window.
  4. Click Save and Add Another to save the new task details, refresh the window and create another task.
  5. Click Cancel to exit the New Task window without saving the new task details.
Task Details
To Create New Tasks
  1. Enter the Task Title.
  2. Select a calendar in which the task should appear from the drop-down list that displays a list of your calendars.

    Note - You can create a task in a subscribed calendar only if you are a co-owner of that calendar or if you have “write” permissions to that calendar.


  3. Choose the month, date, and year or use the Miniature Calendar to select the Start Date.
  4. Select the No Due Date check box if the task does not have to be completed within a specified date and can be kept in the Task list indefinitely.

    or

    Choose the month, date, and year when the task is due. Items past the due dates are listed under Overdue Tasks in the Day, Week, Month and Year view.


    Note - No Due Date check box and the month, date, and year fields are disabled once the No Due Date check box is selected.


  5. Select the No Time checkbox if the task does not have to be completed within a time frame.

    or

    Select the time for submitting the task in hours and minutes.


    Note - This field is disabled once the No Time checkbox is selected.


  6. Choose a Type, from the drop-down list, under which the task is classified.

    The options available are: Appointment, Breakfast, Business, Conference Call, Dinner, Holiday, Lunch, Meeting, Personal, Seminar, Training, Travel, Vacation, Anniversary, Birthday, Call, Class, Interview, and Others

  7. Tasks can be created in one of the three priority settings. Choose a priority between one and three from the drop-down list.
  8. Choose the work in progress status from the drop-down list. The available values are: 100% (completed), 75%, 50%, 25%, 0%(not started).
  9. Choose Public Task, Private Task, or Show Time and Date Only from the drop-down list to setup how the tasks should appear to others viewing your shared calendar.

    Private. Select Private to schedule tasks on your calendars or on calendars where you are a co-owner. Private tasks can only be seen by you and the co-owners of your calendar.

    Public. Select Public to schedule tasks on your calendar that anyone with Read permission to your calendar can see.

    Show Time and Date Only. Select Show Time and Date Only, to schedule tasks on your calendar that anyone with Read permission to your calendar can see as “Busy.”

  10. Enter the Location.
  11. Enter a short description of the task in the Notes text field.
