Month View

Click the Month tab, to view a month’s calendar. The Month view displays the events and tasks for the month containing today’s date. For example, if today is May 25th, the month view displays the calendar for the month of May.

You can define your calendar’s week in the Options tab. The days are displayed in the month’s calendar depending on your settings in the Options - Calendar window for the first day of the week, your weekly holidays, and whether you have enabled the display of the weekends in the calendar. For example, you can set the week to begin on a Wednesday, and the working days to be Thursday, Friday, Monday, and Tuesday and specify not to show Saturday and Sunday on your month’s calendar. Your personalized month calendar will display days with the week beginning on a Wednesday through Friday and then Monday and Tuesday.

The month calendar may also display days of the previous month. For example, if the first day of May falls on a Wednesday, the last few days of the previous month (Sunday through Tuesday) are displayed in the calendar and are marked as 4/28, 4/29, 4/30 to indicate that these are days of the previous month. The first and the subsequent days of the week for the month of May, are indicated as 1+, 2+,3+ and so on. This is also true for the days of the next month.

Although the days of the previous month and the next month appear in grey, the events for these days are not displayed in the current calendar, as these events belong to days of a different month. You can view the events for these days by viewing the calendars for these months.

In the month calendar grid you can:

  • Click the “+” icon, to create a new event for that day or time in the New Events window. For instructions on creating new events, see Create New Events.

  • Click the right arrow that appears at the start of every week in the calendar grid to view the week’s calendar. For more information, see Week View

  • Click the day number in the calendar grid to view the calendar for the day in the day view. For more information, see Day View

The Tasks pane displays tasks that are overdue for the current day and tasks scheduled for the month. You can use the Options tab to specify whether the competed tasks should be displayed in the Tasks Pane.

Within the Month’s calendar you can:

Year View

Click the Year tab, to view the calendar for the current year. In the Year view, no events or tasks are shown.

You can view another year's calendar using the Jump to option.

Click the name of a month to see the Month view, or click on a specific day to view the day’s calendar for that date. Click on the right arrow that appears at the start of every week in the calendar grid to view the week’s calendar.

The day last displayed in the main view is highlighted. That is, if you were displaying today’s date, then today’s day is highlighted in the year calendar.

Within the year’s calendar you can:

Events

Click the Events tab. Depending on the view from which the Events tab is selected, the events list displays events scheduled for the day, week, or month in the current calendar. By default, the events are sorted by their start dates.

From the Events page you can:


Note - The Edit and Delete hyperlinks appear in the events lists only if you have edit and delete permissions.


Create New Events

From the Day, Week, Month, Year, Events, Tasks, and Invitations page, click the New Event link or icon to create an event.

The New Event window is displayed.

To Create New Events

  1. In the New Event window enter the:
  2. Click Save to save the new event details and exit the New Event window.
  3. Click Save and Add Another to save the new event details, refresh the window and create another event.
  4. Click Cancel to exit the New Event window without saving the event details.
Event Details

Enter the following event details:

Title. Enter the event’s title.

Calendar. Choose a calendar in which the event should be created from the list of calendars displayed in the drop-down list.

Date. Select the Month, Date, and Year on which the event occurs from the drop-down lists, or click the calendar icon to select the date from the Miniature Calendar popup.

All Day Event. Select the check box if the event spans across the day.


Note - The Time and Duration fields are disabled if the All Day Event check box is selected.


Time. Select the time the event is scheduled to take place.


Note - If you are inviting others to the event, you can wait until you have added all the attendees and checked their availability before specifying the time and date of the event.


Duration. Specify the duration of the event in hours and minutes.

Availability. Select the check box to show that you are busy when others view your availability.

Type. Choose the event type from the drop-down list. The available categories are: Appointment, Breakfast, Business, Conference Call, Dinner, Holiday, Lunch, Meeting, Personal, Seminar, Training, Travel, Vacation, Anniversary, Birthday, Call, Class, Interview, and Others.

Privacy. Choose Public Event, Private Event, or Show Time and Date only from the drop-down list to setup how the event details should appear to others viewing your shared calendar.

Set an event to “Public” if you want others to see the title, description, time, and duration of the event. However, for others to be able to see the event details, they should have been granted Read permission.

When you first create an event the default event type is set to “Public.”


Tip - You can set your default permission to “Public” if your calendar is used to publish team events.


Set an event to “Show Time and Date” if you want others to know that you are busy on that day and during that time but do not want them to know what you are busy with. Anyone who has Availability or Read permission to your calendar will see this time blocked out as busy, but they cannot see the event details. Only you, other owners of your calendar and your attendees can see the details of this event.

Set the event to “Private” if you do not want others to see the event when they access your calendar. The invitees can only view this event on their own calendars.


Note -

When you change the permission of a Public event to Private, you have the option to:

  • Set the event to Private and select the Availability check box to display only the date and time of the event to others accessing your calendar. Such events are used to calculate the free busy information of your calendar.

  • Set the event to Private and uncheck the Availability check box if you do not want others to see the event when they access your calendar. Such events are not used to calculate the free busy information of your calendar.

    Location. Enter the venue of the event.

    Notes. Enter a short description on the highlights of the event. For example, the agenda of the event.
